Delete your STAMP account and data
STAMP is a timesheet and time clock app made by Clocktower Software Limited. Our developer name on Google Play is Clocktower Software. This page explains how to ask us to delete your STAMP account and the data linked to it, what we delete, and what we keep and for how long.
Who holds your STAMP account
A business signs up for STAMP and adds its workers. Workers sign in to the STAMP app with a setup code, which their employer gives them or STAMP emails to them. Your employer decides who can use STAMP, and your timesheets are part of your employer's employment records. Our privacy policy explains this in full.
How to ask for deletion
If you are a worker, do either of these:
- Ask your employer's STAMP admin. They can make you inactive straight away, which stops you clocking in, and they can contact us for you.
- Email [email protected] from the email address on your STAMP account. Say that you want your STAMP account deleted, and name the business you work for. If your account has no email address, ask your employer's STAMP admin instead.
If you own a business's STAMP account and want to close it and delete the business's data, email [email protected] from the account owner's email address.
We may need to confirm who you are and check the request with your employer before we act. We reply within one business day: Monday to Friday, New Zealand time, excluding public holidays.
What we delete when a worker asks
We close your STAMP login so you can no longer sign in. We delete its sign-in details: your login email address, any link to your Google account, the devices signed in to it and their notification tokens.
Clock photos and GPS locations are already deleted 90 days after the pay period they belong to closes. Your employer can hold specific records for longer during a dispute, investigation or legal obligation.
What we keep, and for how long
Your employer's records about your work stay with your employer. These include your name and employee number as your employer recorded them, clock-ins, hours, breaks, leave, approvals, corrections and the history of changes to them. New Zealand employers must keep wage, time and leave records for six years. We keep these records for your employer while its STAMP account is active, and delete them when that account is deleted.
Some copies take a while to expire:
- Encrypted database backups are kept for 30 days. Deleted information can remain in a backup until that backup expires.
- Server logs are kept for 30 days.
- Our email provider keeps emails STAMP has sent, such as sign-in codes, and their delivery logs for 30 days.
When a business closes its STAMP account
When an account closes, the employer receives a full export of its data. The account stays read-only for 90 days so the employer can review and export records again. We then delete the account data, including timesheets, clock photos and the history of changes. We also delete the STAMP logins of people who used STAMP only with that business.
We keep invoices and the account owner's billing details for seven years for tax. The employer keeps any records it must hold for six years, using its export.
